HRSpace vs Workplace HCM

HSHRSpace team·September 29, 2026·6 min read

Most comparison pages assume both options are the same kind of product. These two are not.

HRSpace is HR software your own team uses: employee records, time off, onboarding, goals and reviews, recognition, AI recruiting and an internal service desk, priced per employee by module. Workplace HCM is an outsourced HR and payroll provider in New Jersey. It runs payroll, timekeeping, hiring and onboarding, and benefits enrollment for small and midsize employers, on cloud platforms it provides, with its own staff supporting you.

So the real question is whether you want to hand HR to a provider, or run it yourself with tools that make it easy. If you choose the second, HRSpace is built for that: one workspace, published prices and no contract.

The quick answer

  • Choose HRSpace if you have someone in-house handling HR, you want to control your own processes, and you want published prices and monthly billing.
  • Choose Workplace HCM if you are a US employer that wants payroll, tax filings and HR support handled for you by a provider.
  • Consider both if you want HRSpace for day-to-day HR and a separate payroll provider for pay runs. HRSpace works alongside the payroll provider you already use.

Payroll is the biggest difference

If you need payroll run for you, this decides it. Workplace HCM's platforms cover payroll and taxes, which is central to what it sells. HRSpace does not process payroll. It holds the employee data and sends what your payroll provider or accountant needs.

For a US company that wants one provider for pay runs and HR support, that is a real advantage for Workplace HCM. For a company that already has payroll sorted and wants better everyday HR, it is unnecessary weight.

Software you run vs a service you lean on

An outsourced provider gives you people as well as tools. When you have a compliance question or a difficult HR situation, you can call someone. That is worth a lot for a small company with no HR hire.

Software puts the work in your hands. The trade-off is control against support. Software is cheaper and configurable but assumes someone on your side owns it. A provider carries more of the load but you work within its platform and process.

The easier route with HRSpace

Many small companies outsource HR because their own HR is a mess of spreadsheets, chat messages and paper, not because they need someone else to run it. If that sounds like you, fixing the mess may be easier than paying someone to work around it.

HRSpace is built for that:

  • Records, documents and time off live in one place from the $1 base layer.
  • Onboarding ($0.50) gives every new hire a task list with an owner for each task, and tasks can go to IT or Finance, not only HR.
  • Service Me ($0.50) gives employee questions a proper queue with routing, SLA targets and approvals, instead of a chat channel where they get lost.
  • Goals & Performance ($1) runs review cycles and check-ins, with AI-assisted drafting of goals and feedback.

You keep control of your processes, you see the price before you talk to anyone, and you can stop any time. Keep your existing payroll provider or accountant for pay runs and let HRSpace hand them the data.

Onboarding, time off and reviews

Both cover the everyday basics. Workplace HCM offers electronic new-hire paperwork, timekeeping with time-off requests, and performance tools. HRSpace covers time off in the base layer, onboarding as a module, and goals, 360° reviews and check-ins in Goals & Performance.

If you compare them, run the same scenario in both demos: a hire starting in two weeks, one time-off request, and one review cycle. Watch who gets reminded and who has to chase.

Pricing

Workplace HCM does not list prices on the pages we checked, so you will need a quote. Ask what is included in payroll fees, HR support, onboarding and any per-employee charges, and what happens at renewal.

HRSpace publishes its prices. For a 50-person company:

  • Base layer (records, documents, time off, timesheets): $50/month
  • Onboarding: $25/month
  • Goals & Performance: $50/month
  • Service Me: $25/month
  • Total: $150/month, billed monthly with no setup fee

That figure is software only. It does not include payroll, so compare it with the software portion of any provider quote, not the whole bill.

How to decide

  1. Do you need payroll and tax handling included? Yes points to Workplace HCM or a similar provider.
  2. Do you have someone who owns HR? Yes points to HRSpace. No means you may want the support of a provider.
  3. Where do you operate? Workplace HCM is aimed at US employers. If you are elsewhere, it is unlikely to be an option.
  4. How much do you want to control? Full control of workflows points to software.
