Pricing: two very different models

HRSpace: pick modules, see the total before you talk to anyone

HRSpace starts at $1 per employee per month for the Base Layer — employee records, documents, time off and leave, timesheets, calendar and basic reporting. Every other capability is a module you switch on when you need it: Onboarding at $0.50, Goals & Performance at $1, Recognition & Feedback at $0.66, AI Recruitment at $1, Service Me at $0.50, and so on. There is no setup fee, no minimum number of seats and no annual contract.

For a 50-person company that wants records, time off, onboarding and performance reviews:

  • Base Layer: 50 × $1 = $50/month
  • Onboarding: 50 × $0.50 = $25/month
  • Goals & Performance: 50 × $1 = $50/month
  • Total: $125/month ($1,500/year), billed monthly

Personio: a quote built from a plan, apps, headcount and a setup fee

Personio does not publish list prices. Its pricing page explains the structure instead: you choose Core or Core Pro, priced per employee per month; add the apps you need (Recruiting, Performance & Development, Surveys, Compensation, Whistleblowing and others), each priced separately; pay a one-time setup fee that depends on company size; and commit to a 12-month minimum term, with a discount if you pay the year upfront.

That model suits companies that know exactly what they need for the next year and have budget approval for an implementation project. It suits smaller or fast-changing teams less well: the same 50-person brief above requires Core plus the Performance & Development app, a setup fee and a year’s commitment before you have used the product once. When you request your Personio quote, ask for the per-employee rate of each component separately, the setup fee, the renewal price and the notice period — and compare the 12-month total with HRSpace’s $1,500.

Core HR, documents and time off

Both products cover the fundamentals well: employee profiles, org chart, document storage, absence and leave management, and attendance or timesheets. Personio’s strength is depth of configuration for German and wider European employment rules — working-time models, public-holiday calendars by region, and document templates that map to local requirements. Core Pro adds position management for companies that plan headcount by role rather than by person.

HRSpace covers records, documents, leave and timesheets in the $1 base, with the emphasis on speed: a small team can import its people, set leave policies and be live the same afternoon. If you operate in several countries, test both products on your real leave rules before deciding — that is where HR tools most often need vendor help to configure.

Onboarding and offboarding

Personio includes onboarding and offboarding checklists in Core. HRSpace sells Onboarding as a $0.50 module, so a team that already has a process elsewhere is not paying for it.

In both demos, ask for the same scenario: a hire starting in two weeks, in a second office, who needs a laptop, three documents signed and a buddy assigned. Watch who gets reminded, how a manager sees progress, and whether tasks can be owned by IT and Finance rather than only HR. In HRSpace, onboarding tasks can route to any team and feed into Service Me requests, so “order a laptop” becomes a tracked ticket rather than a Slack message.

Performance reviews and goals

Personio’s Performance & Development app supports review cycles, feedback and goal tracking; it is priced on top of the Core plan. HRSpace’s Goals & Performance module ($1 per employee) covers OKR-style goals with progress tracking, 360° review cycles and check-ins, with AI-assisted drafting of goals and review feedback included in the module price.

Bring your current review template to both demos and try to rebuild it — question types, rating scales, who sees what and when. Then ask a manager and an employee to complete one cycle. Their experience will tell you more than any feature list.

Recruiting

Personio’s Recruiting app is mature, with a large customer base in Europe and multiposting to job boards; in 2026 Personio added agentic sourcing through its acquisition of aurio. HRSpace’s AI Recruitment module ($1 per employee) covers job posts, a candidate pipeline and AI-led screening interviews, and a hired candidate flows straight into Onboarding.

If you hire constantly, Personio’s recruiting depth may justify its price. If you hire a handful of roles a year, paying $50 a month for a 50-person company — and switching it off in quiet months — is hard to beat.

Employee requests: Service Me vs Conversations

This is the clearest functional difference between the two products. HR teams spend a surprising share of their week answering the same questions: how much leave do I have, can I get an employment letter, my laptop is broken, who approves my training request. Personio handles these through Conversations, a shared inbox for employee messages.

HRSpace’s Service Me module ($0.50 per employee, so $25 a month for 50 people) is a full internal service desk: a request catalogue, routing rules that send each request to the right owner, SLA targets, approval chains and a history the employee can see. It sits inside the same system that already knows the org chart and who is on leave, so routing does not need to be configured twice. Compared with buying a separate help-desk tool priced per agent, it is one of the cheapest ways to give a small HR team a proper queue.

Test it the same way in both products: submit a request, route it, approve it, and look at the reporting afterwards.

Payroll, compliance and where your data lives

Personio runs native payroll in Germany, Spain and the UK and exports to DATEV, the standard for German accountants. If you need payroll and HR in one contract in those countries, that is a real advantage. HRSpace does not process payroll; it is designed to sit alongside the payroll provider or accountant you already use, and to export the data they need. For most companies outside DACH that is how HR software is bought anyway — payroll stays with a specialist.

On compliance, both vendors should be asked the same questions before you sign: where is our data hosted, will you sign a data processing agreement, what are your security certifications, and how do you support GDPR data-retention and the EU Pay Transparency Directive reporting that companies with 150 or more employees must produce from June 2027.
